# Connect Microsoft 365, Google, or Grafana

A connection gives Szenera read access to an account or service. You set it up once, and every source of that provider can use it. Power BI and Looker Studio also need a release on your side, described below.

> **Type:** guide
> **For:** Owners who connect accounts for data sources
> **Prerequisite:** the **Set up connections** permission, which only the Owner has by default. For Power BI, your Power BI administrator helps.
> **Where in the portal:** **Settings › Organization › Connections** › **Set up connection**

## Steps

### Set up a connection

1. Open **Settings › Organization › Connections** and click **Set up connection**. The same window opens from the **Data sources** page.
2. Choose the provider: **Microsoft 365**, **Google**, or **Grafana**.
3. For Microsoft 365 and Google, check under **What do you need the connection for?** what it may read. Microsoft offers **Files and Excel**, **SharePoint news**, and **Calendars**. Google offers **Google Sheets**, **Calendars**, and **Google reviews**. One check must stay on.
4. Click **Sign in at Microsoft 365** or **Sign in at Google** and sign in with the provider.

**Calendars** reads only the events, without content and attendees. If you set up a connection before this check existed, set it up again with the check.

For Google, sign in with the account that manages the sheets, calendars, and the business profile. For Microsoft 365, you sign in with the account whose permissions the sources use. If that account is blocked or deleted, for example when the person leaves, the connection stops working.

> **Tip:** Choose **As the organization service account** instead. Your IT sets it up once and then releases the SharePoint sites we may read. The connection then outlives any single person. Calendars are the exception, because the service account does not read them.

### Connect Grafana

Grafana works with a key instead of a sign-in. After you choose **Grafana**:

1. Enter the **Grafana address** the way you open Grafana in the browser. It starts with https.
2. Paste the **Key** of a service account with the Viewer role.
3. Add a **Name** if you like, such as “Grafana · Warehouse”, and click **Connect**.

We check the key before the connection exists. Afterward, the key appears nowhere in the portal.

### Release Power BI

Szenera reads Power BI only through the service account of your organization. Choose **As the organization service account** when you set up the connection. Then your Power BI administrator does four things in the Power BI admin portal:

1. Allow the service account to use the Fabric APIs. Do this for a security group that contains the Szenera enterprise application.
2. Add the service account to the workspace the reports come from.
3. Turn on “Export reports as image files”. It is off by default.
4. Check that the workspace runs on capacity: Premium, Embedded, or Fabric. Premium Per User does not work.

Without capacity, the choice lists the workspace but marks it as having no image. Then the way remains to publish the report to the web in Power BI and show it with the [Web page](/apps/webpage) app. Anyone with the link can then see the published report.

### Release Looker Studio

Looker Studio needs no connection. Szenera captures the report without signing in, so the report must be shared with everyone who has the link. In Looker Studio, set the sharing of the report to “Anyone with the link”. Paste the address under **Report address** when you create the source.

Click **Fetch a sample** before you create the source. If the preview shows a sign-in page instead of your report, the report is not shared yet. Everyone who knows the link can see the report, so show only figures that may be public.

### Repair or disconnect a connection

1. Open **Settings › Organization › Connections**. Each row shows **Connected**, **Interrupted**, or **Disconnected**. An interrupted connection names the reason.
2. To repair it, click **Reconnect** and sign in with the same account. For Grafana, click **New key**.
3. To end it, click **Disconnect** and confirm with **Disconnect account**.

Disconnecting deletes the stored authorization and revokes it with the provider. Files you imported and the last data of the sources stay. New fetches only come after a new connection. On the page of the OneDrive app, the same block is called **Connected accounts** and shows only the Microsoft connections.

## Check the result

The connection appears under **Settings › Organization › Connections** with **Connected**. On the **Data sources** page, it appears as a card with **connected**.

## If something goes wrong

| Symptom | Cause | Solution |
|---|---|---|
| **Set up connection** is grayed out | You lack the **Set up connections** permission. | Ask an Owner. |
| “This needs a connection to Microsoft.” when creating a source | No connection fits the kind, or it lacks the needed capability. | Set up a connection and check the fitting capability. |
| A connection shows **Interrupted** | The provider withdrew the authorization. | Click **Reconnect**. For Grafana, click **New key**. |
| “That was a different account.” | A different account signed in while reconnecting. | Sign in with the same account, or connect the new account as its own connection. |
| “You canceled the connection. Nothing was changed.” or “The process expired.” | The permission was not confirmed in time. | Start connecting again. |
| “The provider could not be reached.” | A problem at the provider. | Try again later. |
| **Provider not configured** | The credentials of the provider are missing in this environment. | Ask us. Without them, no account can be connected. |
| “Grafana did not accept the key.” | The key is wrong, has expired, or has no read access. | Create a new key for a service account with the Viewer role and check the address. |
| **Connect** for Grafana is grayed out | The address does not start with https, or the key is too short. | Enter the address with https and paste the whole key. |
| In the view of a Power BI source, **Last error** says Power BI refuses the image export | The workspace has no capacity, the service account is not in the workspace, or the export as image is turned off. | Check the steps under [Release Power BI](#release-power-bi). |
| The sample of a Looker Studio report shows a sign-in page | The report is not shared with “Anyone with the link”. | Change the sharing in Looker Studio and fetch the sample again. |
